Our client is currently seeking to add an Administrative Assistant to their growing team. Candidates must be responsible, have the ability to multi-task, possess the ability to keep electronic files organized; have excellent technical, interpersonal skills; and have a creative and diplomatic approach to problem solving. We are looking for someone with a passion for providing excellent customer service and communication. Responsibilities

  • Answer phones, greet clients, and provide front desk support, including escorting clients to conference rooms and offering beverages
  • Notify attorneys of client arrivals and maintain accurate conference room schedules
  • Order kitchen and office supplies and coordinate maintenance requests as needed
  • Process all incoming and outgoing mail, including preparing certified mail, stamping, opening, sorting, distributing, and scanning mail
  • Run office errands such as delivering mail to the post office, making bank deposits, and sending certified payments to Accounting
  • Scan documents into the firm’s systems and accurately label items, including use of an electronic typewriter when required
  • Manage client tax documents by scanning, organizing folders, printing completed packets, obtaining client signatures, and scanning e-filed documents
  • Perform dictation and transcription tasks using appropriate terminology
  • Enter attorneys’ billable time into the firm’s timekeeping system
  • Maintain professional communication with clients, attorneys, and third parties

Education and Qualifications

  • A minimum of one year of experience working in a business setting preferred
  • Highschool Diploma or GED
  • Outstanding interpersonal, organizational and communication skills
  • Proficient knowledge of Microsoft Office Suite programs
  • Ability to provide administrative support to all team members
