Position Title: Project Manager/Administrative Coordinator

Reports To: Owner/Principal Consultant

Location: Remote (preferably near Scottsbluff, NE)

Employment Status: part-time (20 hours per week to start)

Salary range: $22-26 per hour, depending on experience

 

 

Position Overview

The Project Manager & Administrative Coordinator manages all operational aspects of client engagements and internal workshop delivery at JNW Consulting. This role is the operational backbone of the business, ensuring projects run smoothly, clients receive timely communication and materials, and team members have the support they need to deliver excellent workshops and coaching. Success requires strong organizational skills, attention to detail, and the ability to juggle multiple priorities simultaneously.

 

 

Core Responsibilities

Project Management & Client Delivery

  • Manage end-to-end project timelines from proposal acceptance through post-workshop completion
  • Track project costs against budgets and provide monthly or quarterly reports to leadership
  • Maintain project documentation, including contracts, assessments, and client communications
  • Coordinate logistics for workshops (calendar, materials prep)
  • Manage project cost tracking, billing milestones, and invoicing timelines

CRM & Client Database

  • Maintain and update CRM database with current client information, contact details
  • Manage customer relationships between engagements and facilitate communication between clients and consultants
  • Ensure data accuracy and consistency across all systems

Customer Support & Communication

  • Serve as the primary point of contact for routine client email inquiries and requests
  • Respond to client questions about assessments, reports, materials, and logistics
  • Escalate complex or strategic issues as needed

Materials & Logistics

  • Order and manage workshop supplies, workbooks, and materials
  • Organize and assemble workshop binders, workshop materials, and client gifts
  • Track materials inventory and identify cost-saving opportunities
  • Arrange shipping and delivery logistics for materials and gifts

Assessment & Reporting Support

  • Coordinate distribution of assessments for workshop participants
  • Prepare and compile assessment data for workshops
  • Manage post-workshop surveys and collect feedback for quality assurance and testimonials

Administrative & Operational Support

  • Must be available for occasional team Zoom calls during typical work hours
  • Manage calendars, schedule meetings, and organize appointments as needed
  • Proofread documents, correspondence, and reports to ensure clarity and accuracy
  • Manage contracts and ensure accurate invoicing tied to project milestones
  • Track Accounts Receivable and follow up on outstanding invoices
  • Edit PowerPoint presentations and workbooks per consultant specifications (template adjustments, branding consistency)
  • Occasional errands in and around Scottsbluff, NE
  • Produce workshop and end-of-year client gifts (planning, design coordination, ordering, production, shipping)

  • Organization & Prioritization: Ability to manage multiple projects simultaneously with competing deadlines
  • Attention to Detail: Critical for managing assessments, surveys, and client communications
  • Communication: Professional and clear communication with clients, consultants, and vendors
  • Systems & Tech Proficiency: Comfortable learning new software (CRM, project management tools, SurveyMonkey, etc.)
  • Problem-Solving: Ability to troubleshoot issues independently when possible, escalate when needed
  • Client Service Mindset: Friendly, responsive, and committed to ensuring a positive client experience

Qualifications

Required:

  • High school diploma or equivalent
  • 2+ years of administrative, customer service, or operations experience
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Canva
  • Ability to manage multiple priorities and meet deadlines
  • Strong written and verbal communication skills
  • Ability to work independently and complete assignments on time
  • Must have a professional and clean work environment suitable for Zoom calls
  • Must have a professional and clean work environment for storing a small amount of workshop materials, space to assemble workshop materials (binders), and space for a printer and laptop

Preferred:

  • Experience with project management tools or CRM software
  • Background in event coordination, workshop logistics, or client services
  • Familiarity with nonprofit, training, or consulting environments
  • Experience with assessments or survey tools
